Role of the Senior Fundraising and Donor Management Officer: The Senior Fundraising and Donor Management Officer will support SEED’s fundraising initiatives and donor relations by managing donor records and commitments, ensuring that all donations are accurately tracked, acknowledged and reported upon, coordinate reporting and visibility, donor and fundraising events and campaigns, and support tracking funding. The Senior Officer will maintain high-quality donor databases and systems, coordinate donor acknowledgement and thank-you processes, ensure donor reporting requirements are met, and contribute to donor cultivation and stewardship events.

Specific Tasks:

Donation Management

  • Manage the process of recording and tracking all financial and in-kind donations in SEED’s systems.
  • Maintain accurate, timely, and comprehensive donor database entries and financial records, working closely with finance team.
  • Maintain records of all donor agreements and communications.
  • Monitor donation schedules and recurring gifts.
  • Maintain tracker of reporting deadlines and visibility deliverables, and any other donor commitments.
  • Working closely with programs and finance teams, coordinate allocation of donor funds to projects and activities in line with donor agreements and identified needs.
  • Track spending to ensure alignment with agreed implementation plans and flag any variances.
  • Support reallocation of donor funds as required in coordination with programs and finance teams.

Strengthening Donor Management Systems

  • Refine internal procedures across donation tracking, stewardship, and reporting.
  • Contribute to improving SEED’s donor relations tools, templates, and processes.

Donor Engagement and Stewardship

  • Maintain a system for tracking acknowledgment and thank-you timelines, and other donor recognition touchpoints.
  • Prepare and send donor acknowledgment and thank you letters in a timely manner, ensuring SEED’s leadership team is engaged as appropriate.
  • Prepare or support high-quality donor reports, updates, and other communications, coordinating with colleagues in other teams as required.
  • Ensure donor visibility requirements are adhered to during implementation.
  • Assist in planning and hosting donor cultivation and stewardship events, including briefings, meetings, visits, and other events.
  • Develop and maintain guest lists, invitations, RSVPs, schedules/agendas, materials, and briefing notes for donor engagement events, coordinating with programs and technical teams as appropriate.
  • Prepare and ensure sending of any follow-up communications and materials post events.
  • Support logistics, coordination, documentation, and visibility for all donor events.

Other Fundraising

  • Support development and coordination of donor appeals and fundraising campaigns and events.
  • Assist with planning, drafting, and distributing online donation appeals (email, website, social media) in coordination with communications team.

Essential Criteria:

  • Excellent English writing and editing skills required.
  • Excellent organizational, tracking, and data management skills with high attention to detail.
  • Excellent interpersonal and communication skills, with ability to work across teams to achieve common objectives.
  • Two years of NGO experience, including at least one year of experience in fundraising, donor relations and/or administration preferably in the human rights or protection sector.
  • Professionalism, discretion, and commitment to SEED’s values.
